About the Opportunity

Lulich & Attorneys, P.A. is seeking an experienced, highly organized, and detail-oriented Estate Planning Legal Assistant to join our growing Estate Planning team.

This is an important client-facing and production-focused role. The Estate Planning Legal Assistant will work closely with our attorneys throughout the entire estate planning process—from gathering client information and preparing documents through execution, finalization, and post-signing follow-up.

The ideal candidate is someone who takes pride in producing accurate work, thrives in a fast-paced professional environment, communicates confidently with clients, and understands that even the smallest details matter when preparing estate planning documents.

Prior experience in estate planning, probate, elder law, or another document-intensive legal practice is strongly preferred.

  • Prior experience as a legal assistant, legal secretary, or paralegal; estate planning, probate, or elder law experience is strongly preferred.

  • The ability to manage multiple client matters and priorities simultaneously.

  • Excellent written and verbal communication skills.

  • Strong proofreading and document-review abilities.

  • The ability to work independently while also functioning effectively as part of a team.

  • The ability to follow established processes while identifying opportunities to improve them.

  • Strong judgment and discretion when handling confidential and sensitive client information.

  • Proficiency with Microsoft Word, Outlook, and Excel.

  • Comfort learning and working with legal practice-management and document-automation technology.

  • Assist attorneys with the preparation, drafting, proofreading, and finalization of estate planning documents, including:

    • Revocable and irrevocable trusts.

    • Last wills and testaments.

    • Durable powers of attorney.

    • Designations of health care surrogate.

    • Living wills and advance directives.

    • Deeds and other related estate planning documents.

  • Carefully review documents for accuracy, consistency, formatting, names, dates, beneficiary designations, and other critical details.

  • Coordinate estate planning signing appointments, including scheduling clients, attorneys, witnesses, and notaries.

  • Prepare complete execution packages for client signing appointments.

  • Communicate professionally and compassionately with clients throughout the estate planning process.

  • Gather and organize information necessary for attorneys to prepare estate plans.

  • Provide clients with appropriate status updates and follow up regarding outstanding documents or information.

  • Maintain accurate and organized electronic and physical client files.

  • Track deadlines, assignments, document execution, trust funding, deed preparation, and post-signing follow-up.

  • Prepare correspondence, client letters, memoranda, and other legal documents.

  • Assist with trust funding and post-execution matters as directed by the attorney.

  • Prepare completed estate planning binders and client portfolios following execution.

  • Record deeds and submit other documents to government agencies or third parties when appropriate.

  • Maintain accurate case management information, notes, tasks, deadlines, and client communications.

  • Maintain accurate timekeeping and billing records when required.

  • Work collaboratively with attorneys, paralegals, legal assistants, intake staff, and other members of the firm.

  • Identify potential issues, inconsistencies, or missing information and proactively bring them to the attorney’s attention.

  • Help continuously improve the firm’s estate planning systems, processes, and client experience.

Preferred

The following qualifications are preferred but not required:

  • Prior estate planning experience.

  • Associate degree, bachelor’s degree, or paralegal certificate.

  • Experience with WealthCounsel, ElderDocx, HotDocs, or similar document-assembly software.

  • Experience with legal practice-management software.

  • Experience preparing deeds and coordinating recording.

  • Florida Notary Public commission or willingness to become a Notary Public.

  • Experience working in a high-volume or growing law firm.
