Content Studio Executive Assistant

OWN Real Estate • Millbrae, CA, US

Posted 10 hours ago

We're hiring a full-time Executive Assistant to work directly with the founder of a top-producing Bay Area real estate brokerage and its in-house media studio. Your job is to protect the founder's time so they can focus on clients, listings, and being on camera.

Roughly half of this role is classic EA work: calendar, inbox, follow-ups, and keeping projects moving. The other half is content: running the founder's personal content calendar, prepping shoots, and working with our media team to get videos and posts out the door. If you're organized, sharp, and love social media, this role was built for you.

About us

We're an established, high-volume residential brokerage serving San Francisco and the Peninsula. Our founder has closed well over a thousand transactions and leads a team of agents and support staff.

We also run an in-house media studio. Content isn't a side project here. It's how we win business. We run a growing network of channels covering personal brand, brokerage brand, Bay Area local news and community, property walkthroughs, market reports, and website content.

We use AI and automation heavily for research, scripting, and publishing. You'll be working alongside those systems, not around them.

Details

  • Location: On-site at our office in San Mateo County, plus shoots and appointments across SF and the Peninsula

  • Schedule: Full-time, W-2. Some flexibility needed for early shoots, evenings, or weekends.

  • Reports to: Founder

  • Pay: [Add range here. California requires a pay range on job postings.]

  • Perks: Work side by side with a top-producing founder, studio access, and room to grow into a chief of staff role

What you'll do

Executive support

  • Manage the founder's calendar, including client appointments, listing presentations, team meetings, and shoots

  • Triage the inbox and messages, draft replies, and make sure nothing important sits

  • Prep for meetings with notes, agendas, and the documents needed

  • Track follow-ups and action items and close the loop on them

  • Coordinate with our transaction coordinators to keep deals on track

  • Handle special projects across the founder's businesses as they come up

Content

  • Own the founder's personal content calendar and keep it full

  • Research topics and help draft scripts and outlines using our AI workflows

  • Book and prep shoots: locations, talking points, wardrobe, and gear

  • Work with editors and videographers to keep videos moving from shoot to publish

  • Schedule and post content, write captions, and track what's live

  • Monitor comments and DMs, and flag real buyer and seller leads to the right person fast

Tracking and systems

  • Pull weekly content performance numbers and summarize what's working

  • Build and maintain SOPs so recurring work runs smoothly

The team you'll work with

  • Founder: your direct manager, on-camera talent, and lead agent

  • Media team: editors, videographers, and content coordinators

  • Transaction team: coordinators who keep deals moving

  • Agents: the broader team you'll support with scheduling and content

What success looks like

  • First 30 days: learned the founder's priorities and systems, took over the calendar and inbox, and met the full team

  • First 90 days: running the content calendar end to end, prepping every shoot, and cutting the founder's time on admin and content logistics in half

  • First 6 months: the founder spends their time on clients and on camera, not on scheduling. SOPs are written, nothing falls through the cracks, and content output is up.

Who we're looking for

Must-haves

  • 2+ years as an executive assistant, chief of staff, or in a similar support role

  • Strong feel for social media and short-form video. You know what makes content work.

  • Extremely organized. You live in calendars, task lists, and spreadsheets.

  • Clear, professional writer who can draft emails and captions in someone else's voice

  • Discreet and trustworthy with confidential client and business information

  • Proactive. You fix the problem before anyone knows there was one.

  • Based in the Bay Area with reliable transportation

Nice to have

  • Real estate experience or a real estate license

  • Comfortable filming on a phone or camera

  • Experience with Google Workspace, Canva, and AI tools

  • Cantonese or Mandarin, a plus for the client base

Compensation

$68,000 - $85,000 yearly
