The Role
The Project Coordinator/Administrator supports our project managers and ownership across every active job, from pre-construction through closeout. You won't be swinging a hammer, but you'll know more about the state of every project than almost anyone else in the company: budgets, logs, documents, and what the client was told and when.
This is a full-time, in-office role working directly with our Director of Operations and our Project Managers. You'll be the connective tissue between the field, the office, and the client.
You'll see the entire life of a project — from a first client conversation through the last item on a punch list — and work directly with the people responsible for building it right. It's a role with real variety, real responsibility, and a company that's investing in the systems and structure to make this job easier to do well, not harder.
What You'll Do
Keep project documentation current and accurate — daily logs, change orders, specs, and project files organized in JobTread and Google Drive, so anyone on the team can find the real status of a job in under a minute.
Support client communication — helping prepare and track weekly client updates drawn from daily field logs, so homeowners hear from us before they have to ask.
Coordinate schedules and paperwork — tracking permits, submittals, and vendor documentation; following up on outstanding items before they become delays.
Process change orders and billing support — working alongside project managers and estimating to make sure change orders are logged, priced, and communicated correctly.
Manage the small stuff that isn't small — correspondence, meeting notes, filing, and scheduling that keep a project moving without a PM having to stop and chase it down.
Be a second set of eyes on the details — catching the gap between what a drawing says and what a log shows before it turns into a client conversation nobody wanted to have.
Who We're Looking For
Genuinely organized, not just self-described that way. You keep your own systems clean, and you'll be trusted to keep ours the same way.
Comfortable with software and documentation systems. Experience with a construction project management platform is a plus, we run on JobTread, but what matters most is that you learn systems fast and use them consistently.
Clear, professional writer. A lot of this job is written communication, client updates, notes, correspondence, and it needs to read like it came from a company that pays attention to detail.
Steady under a full plate. Several active projects, each with its own pace and its own personality. You need to track all of them without dropping one.
Construction or residential remodeling experience is a plus, not a requirement. We'd rather hire someone sharp and coachable than someone who's seen it all and stopped paying attention.
Compensation
$20 - $27 hourly
Bosi Construction builds historic renovations and high-performance new homes across Oak Park and River Forest — projects where a 100-year-old wall assembly or an undocumented structural condition can turn a clean set of drawings into a very different job once we're inside.
