The Client Services Data Specialist is a new position that plays a key role at the start of every client engagement. You'll work on site in clients' Accounts Payable departments, collecting, scanning, and organizing the invoices and supplier contracts our Sourcing team needs to begin work. The accuracy and speed of your work directly determine how quickly we can start delivering savings for clients.

• Client Portal - Unless otherwise instructed, all invoices, contracts, and related documents will be deposited into the client portal as the designated repository.

• Client Onboarding Experience - Execute new client onboarding tasks in line with the Client Journey, setting each relationship up for early trust, satisfaction, and long-term retention as required. Complete all onboarding tasks accurately and on schedule for every new client.

• Project Submission - Initiate every project submission so it is complete, accurate, and client-driven from the start, with all required supporting documents attached.

• Client Travel - At the direction of the Director or VP Client Services, arrange the most economical travel (air, lodging, car) to accomplish a complete scanning of all client invoices at and on the pre-arranged dates consistent with the StrategicSource travel policy.

• Client Introductions - This will be the first impression the client has of the StrategicSource team. Incumbent will arrive professionally dressed, on time, and conduct all interactions with client staff using appropriate language and business decorum. Once the tasks are completed, incumbent will report to the client, advise them of the same, thank them for their access and assistance, and set up appropriate post-trip follow-up.

• Invoice Scanning - SSI management will provide directions on which invoices to scan by supplier and/or category name, as well as the quantity (time defined). Incumbent will scan invoices, saving invoice information to the SSI category name either on the shared drive or on the client portal in the appropriate category folder.

• Invoice Retrieval - If a client has their invoice information digitized, work with the client to obtain access to needed files and retrieve the same digitally. Ensure the copies are saved, organized, named according to our conventions and stored on share drive, but preferably via the client portal in the client invoice/contract folder.

• Category Template Population - Taking client invoice data, populate the appropriate category template to complete all fields in order to allow Sourcing to complete their work and their analysis based on the data you accurately populated into the template. The populated template can reside in the client portal in the appropriate category folder, with a notification to Sourcing that the task was completed.

• Assist Sourcing with Template Population - With your supervisors' approval, you may be asked to assist Sourcing and Audits with data population into templates as well.

• Assist with Client Onboarding - Incumbent will assist Reg. Director Training and Onboarding with the client-related tasks, training program content development, delivery, and tracking.

• Client Meetings - Participate in client meetings and assist with client updates to better learn the process in anticipation of a new role at a later date.

• Other Duties as Assigned - There may be other related tasks that are not anticipated today that could be important responsibilities going forward.

• BA/BS – Business or related degree

• Ability to travel 2-5 trips per month

• Ability to learn StrategicSource’s client journey and service delivery model quickly

• Strong organizational skills, able to manage multiple accounts and deadlines without compromising service quality

• Executive Presence & C-Suite Communication: ability to confidently present, discuss, and interact with all levels of client management. Well-developed interpersonal skills.

• Strong personal organization skills with a high degree of productivity and accuracy.

• Proficiency with an ERP, Microsoft Office, and portal/collaboration tools.
