Description

Overview: The Client Service Specialist is a foundational role on the PrimeNumbers team, supporting the financial process for a portfolio of small business clients across client service, bookkeeping, and administrative functions. It's a hybrid role that touches client relationships, hands-on accounting work, and internal operations.

Why an applicant would be excited to join:

  • Not a traditional accounting firm role. PrimeNumbers positions itself as a Virtual CFO advisory practice, not a typical compliance-only CPA shop. Applicants get exposure to strategic, advisory-style client work rather than just data entry — they'll see how financial information translates into real decision-making for business owners.
  • Real variety, real ownership. The role spans onboarding, bookkeeping, AP/AR, payroll support, and reporting — not a single repetitive task. That breadth is appealing to someone who wants to build a broad skill set in their career.
  • Built-in growth path. Prior bookkeeping experience is a plus, but not required — training is provided. Combined with the expectation that the person can eventually "lead other teammates and assist with career development," this signals real upward mobility rather than a dead-end entry-level post.
  • Direct client impact. The person isn't buried in back-office work only — they're the face of the firm for many clients (greeting, resolving requests, building CRM relationships), so they see the tangible effect of their work on small business owners' financial lives.
  • Team-oriented culture. The "Team Player" requirement and emphasis on collaborative SOP maintenance suggest a tight-knit team where input and process improvement ideas are genuinely welcomed, not just tolerated.
  • Competitive pay and full benefits, which is a meaningful draw for an entry-to-mid-level office/accounting role.

Responsibilities

Client Service

  • Greet clients and communicate professionally and respectfully
  • Facilitate and resolve client service requests (in person, email, phone)
  • Follow and help refine office procedures/workflows, recommending improvements
  • Execute new client onboarding (document collection, software setup, CRM entry)
  • Maintain timely, accurate data and notes in the CRM database

Bookkeeping & Accounting Support

  • Help organize client financial information and confirm its accuracy/accessibility for the team
  • Perform entry-level bookkeeping: transaction entry/categorization in QuickBooks Online (or similar), and weekly/monthly bank and credit card reconciliations
  • Process routine AP/AR: enter vendor invoices, prepare client invoices, track outstanding balances
  • Organize and prepare client documentation (scanning, uploading to Canopy) to support tax preparers and senior staff, especially during tax season
  • Assist with payroll division administrative/operational functions, including basic payroll data entry and timesheet verification
  • Maintain strict confidentiality of client financial and personally identifiable information per firm policy

Administrative

  • Participate in recurring meetings to help the firm stay ahead in client financial management
  • Prepare special reporting to support better management of the firm and/or its clients
  • Meet recurring monthly close and reporting deadlines, with awareness that hours may increase during tax season and other seasonal peaks
  • Update and manage internal SOPs whenever changes are made, keeping an active current version available to staff
  • Participate in other administrative and accounting functions for existing clients

Qualifications

Education & Work Requirements:

  • Associate's degree, or Bachelor's degree preferred, or equivalent combination of education and experience
  • Have a minimum of 2-4 years in an office setting, preferably centered around the financial industry; prior bookkeeping experience is a plus but not required, as training will be provided
  • Extraordinary communication skills, as constant interaction between team members and clients is done
  • Comfort working with numbers and attention to detail for entry-level bookkeeping tasks
  • Ability to lead other teammates and assist with career development
  • Proficiency in all facets of technology, including Microsoft Office; familiarity with QuickBooks Online or similar accounting software is a plus
  • Must be a Team Player

Compensation

$20 - $30/hour

About PrimeNumbers

PrimeNumbers is a Fargo, ND-based virtual CFO firm that does accounting differently. Rather than handing clients a stack of reports once a year, we operate as an embedded financial team for small businesses across construction, automotive service, medical, professional services, and other service industries — delivering real-time KPIs, proactive tax planning, and strategic guidance year-round.

We're a small, close-knit, and energetic team that values direct client relationships over departmental silos — when you work here, you're not buried in one narrow function, you're part of the team that actually knows the client's business. We look for people who want to solve problems, communicate proactively, and take genuine ownership of client outcomes, because we treat every client relationship as a partnership where their success is our success. If you want meaningful client interaction, variety in your work, and a firm that's still building its culture and growing, you'll fit right in.
