Responsibilities

This position is well-suited for someone who enjoys being deeply involved in the client service process, staying ahead of important details, supporting advisor follow-through, and helping a growing wealth management firm deliver an organized, responsive, and high-quality experience.

  • Meeting preparation and action items: Prepare advisor meeting materials, planning packets, reports, and supporting documents; coordinate required information from clients; summarize next steps; and monitor follow-up items after meetings.
  • Planning data and deliverables: Gather, organize, enter, and maintain client financial planning information, planning software records, and related deliverables so advisors have accurate and current information for client reviews.
  • Planning-related coordination: Support recurring planning workflows such as tax document collection, RMDs, QCDs, Roth conversion tracking, contribution coordination, insurance review follow-up, and beneficiary review updates.
  • Custodian and account service: Handle account opening and maintenance through Schwab Advisor Center, including transfers, money movement, distributions, contributions, rollovers, account updates, and related paperwork.
  • CRM, workflow, and process support: Keep CRM records, tasks, and recurring workflows organized; monitor deadlines; document procedures; assist with compliance readiness; and recommend practical improvements that help the team serve clients more efficiently.

Qualifications

The ideal candidate will have a strong background in wealth management client service, excellent follow-through, and the ability to keep planning support, account administration, and daily service workflows moving accurately and efficiently.

  • Professional background: 3+ years of experience in wealth management, financial services, RIA support, advisory operations, or a client-facing service role.
  • Client experience: Background working with high-net-worth clients and helping deliver a responsive, polished, and high-quality service experience.
  • Wealth management knowledge: Familiarity with financial planning concepts, retirement accounts, investment account types, and the operational needs of an advisory firm.
  • Account and custodian workflows: Experience using custodial platforms and supporting account opening, account maintenance, transfers, money movement, and related service requests.
