Client Intake Specialist

Trusts Fulfill Law • Remote

Some people put off estate planning for years. Then something happens, and they call us. You're the first voice they hear.

If you can make a nervous caller feel at ease, ask the right questions, state a fee without flinching, and keep every detail straight, keep reading.

Our law firm is expanding and needs the help of an intake specialist to take our client relations to the next level and manage our growing caseload. Our ideal candidate is great on the phone, a naturally compassionate and empathetic listener, and has a dedication to customer service and a passion for helping those in need. You’ll have an opportunity to help a thriving law firm succeed and make a tangible difference in our clients’ lives every day. If this sounds like a job you’d love, apply now!

● Be the first conversation for people reaching out for help.

● Ask the questions that tell us whether we're the right fit, how soon they need help, and whether there's a conflict.

● Point people we can't help to someone who can, or to our free resources.

● Book consultations and collect the consultation fee.

● Keep new prospects informed and confident between booking and their meeting, so they show up ready.

● Give the attorney a short, clear summary before each consultation.

● Send engagement agreements and follow up until they're signed and paid.

● Stay in touch with people who aren't ready yet, and keep our CRM and reports accurate.

You'll thrive here if

● People say you're calm and easy to talk to, even when the topic is hard. Death, illness, and family tension come up often in this work.

● You can say "That's a great question for the attorney" and mean it. You never guess at legal answers.

● Asking for payment feels like part of good service, not a hard sell.

● You can say no kindly and quickly when we're not the right fit.

● A no-show doesn't rattle you. You follow up warmly, without guilt.

● You like a clear process, a clean CRM, and knowing your numbers.

● You've made a big change in your own life, so you know people can do hard things.

What you bring

● Experience in an intake role where you screened, booked, or converted prospects

● Customer service or client care experience

● A bachelor's degree or equivalent work experience

● Hands-on experience with a CRM and with tracking or reporting

● Strong organization and close attention to detail

Nice to have: intake experience at an estate planning or other law firm.

If you meet most of this and the role sounds like you, apply. We'd rather hear from you than miss you.

Pay and schedule

● $55,000 to $65,000 a year, based on experience, plus bonus potential

● Fully remote

● Most work happens between 9 a.m. and 6 p.m. Pacific Time
