We are looking for a warm, articulate, and empathetic remote front-desk professional to serve as the first point of contact for our firm. In this role, you will be the voice of our practice—answering high-volume incoming phone calls, guiding potential clients with care, scheduling consultations, routing calls to the appropriate team members, and maintaining our attorneys' schedules.
Because of the personal nature of our work, you must blend exceptional phone presence and organization with genuine warmth and patience.
This is a full-time role, Monday - Friday, 8:30 a.m.- 5:00 pm Eastern Time.
Location Requirement: Must currently reside in Pennsylvania or Nevada (Required for state tax and employment purposes).
First Impressions: Answer high-volume incoming calls promptly with a welcoming, friendly, and professional tone.
Client Intake & Compassionate Listening: Gather preliminary information from prospective clients, showing empathy and patience while ensuring they feel heard and valued.
Scheduling & Calendar Management: Schedule initial consultations, client meetings, and attorney callbacks accurately across multiple time zones using our practice management software.
Call Routing & Message Taking: Route incoming calls to attorneys, paralegals, or staff members efficiently, taking detailed and accurate messages when team members are unavailable.
Vendor & Solicitor Screening: Gratefully and firmly screen sales and solicitor calls, keeping our phone lines open for clients while politely conveying that the firm is not interested.
Administrative Support: Assist with pre-consultation follow-up emails, basic data entry, and updating client information in our CRM/case management system.
Location Requirement: Must currently reside in Pennsylvania or Nevada (Required for state tax and employment purposes).
Phone Experience: At least 2+ years of high-volume phone handling, front-desk, customer service, or call-center experience (experience in a law firm, medical office, or professional service firm is a major plus).
Communication Skills: Excellent verbal and written communication skills with a clear, calm, and reassuring telephone voice.
Technical Proficiency: Comfortable using cloud-based VoIP phone systems, electronic calendar systems (Google Calendar), CRM software, and basic office applications.
Empathy & Tact: Ability to navigate sensitive situations (such as recent family passings or elderly care concerns) with grace, confidentiality, and respect.
Remote Workspace: A quiet, private home office free from background noise, equipped with high-speed internet and a reliable computer setup.
