Business Operations & Systems Lead | Real Estate & Property Management
The Joan Pratt Group is seeking an experienced, hands-on Business Operations & Systems Lead to support the day-to-day operational needs of our growing real estate and property management business. This is a flexible full-time or part-time opportunity for a highly organized, proactive professional who enjoys completing detailed work, improving systems, solving problems, and keeping important priorities moving forward.
This is not a director-level position or a role focused primarily on delegating work to others. We are looking for a capable doer who can identify what needs to be done, develop a practical plan, and personally carry the work through to completion.
The Business Operations & Systems Lead will work closely with leadership to execute operational priorities, maintain business systems, document processes, coordinate projects, support property management activities, manage vendors, assist with events, and ensure deadlines and follow-up items do not fall through the cracks.
The ideal candidate can move comfortably between strategic thinking and hands-on execution. This person sees opportunities to improve the business but is equally comfortable updating a CRM, creating a spreadsheet, coordinating a repair, documenting a process, researching a solution, following up with a vendor, or completing the administrative steps required to move a project forward.
The hourly rate will be commensurate with the selected candidate’s experience, qualifications, and directly relevant real estate, property management, and business operations expertise.
This position may be structured as either part-time or full-time based on the needs of the business and the selected candidate’s experience and availability.
Provide hands-on operational support across the company’s real estate, property management, events, and business activities.
Work closely with leadership to turn priorities into action plans and carry assignments through completion.
Create, update, and maintain Standard Operating Procedures, checklists, templates, and workflow guides.
Review existing processes, identify operational gaps, and implement practical improvements.
Track projects, deadlines, deliverables, and outstanding action items to ensure consistent follow-through.
Maintain project management systems and provide clear progress updates to leadership.
Create and maintain reports, spreadsheets, dashboards, scorecards, and operational tracking tools.
Maintain accurate and organized CRM records, databases, shared drives, and business systems.
Support listing launch workflows, transaction coordination, marketing handoffs, and related operational tasks.
Coordinate with vendors, title companies, inspectors, contractors, lenders, property owners, tenants, and other business partners.
Obtain estimates, compare pricing, schedule services, confirm completion, and maintain supporting documentation.
Support rental property operations, including maintenance coordination, lease documentation, vendor communication, and property records.
Coordinate client events, educational workshops, community events, open houses, and team meetings.
Develop event timelines, budgets, task lists, vendor schedules, and post-event reports.
Assist with invoice review, expense tracking, vendor comparisons, and operational budgeting.
Maintain organized business records, contracts, digital files, and operational documentation.
Provide backup operational support during vacations, personnel transitions, high-volume periods, and special projects.
Take ownership of special projects and complete other operational duties as assigned.
Minimum of five years of hands-on experience in business operations, project coordination, real estate operations, property management operations, office management, executive support, or a related business environment.
Experience in residential real estate operations.
Property management experience.
Experience supporting a business owner, founder, or executive leadership team.
Experience working in a small business where team members manage varied responsibilities.
Event planning or project coordination experience.
Experience with transaction management systems, MLS platforms, or real estate CRMs.
Experience coordinating repairs, maintenance requests, contractors, leases, or rental property documentation.
Colorado Real Estate License preferred but not required.
Bachelor’s degree or an equivalent combination of education and professional experience.
Compensation
$28 - $40 hourly
