As a Bookkeeper at Hale Law, you'll thrive in a detail-driven role at the financial heart of the firm. You will work with a high degree of independence and accuracy, maintaining the firm's books in QuickBooks Online, managing accounts payable and firm expenses, and overseeing the firm's trust/IOTA account with meticulous care.
Precision and follow-through are key. Your role involves keeping entries current, reconciling accounts monthly, performing three-way trust reconciliations, and supporting the firm's CFO on a monthly and annual basis. Experience with law firm trust accounting is strongly preferred, and a strong command of QuickBooks Online and Excel is essential, as you'll be the person the firm relies on to keep its finances current, compliant, and well-documented.

Responsibilities
- Maintain the firm's books in QuickBooks Online, keeping entries current weekly and booking credit card and expense transactions as they occur
- Reconcile all bank and credit card accounts monthly, closing out by the 10th–15th of the following month, and enter journal entries as needed
- Process accounts payable, vendor payments, and incoming/outgoing checks, and review, audit, and reconcile AMEX statements for valid, properly coded, and documented charges
- Track and record firm expenses by category, and enter case-related expenses in Filevine for accurate per-matter cost accounting
- Manage the firm's trust/IOTA account with strict accuracy, performing monthly three-way reconciliations in full compliance with Florida Bar and trust accounting rules
- Prepare monthly financial reports and support the CFO at month-end and year-end
- Help build and document financial and operational workflows, identifying process improvements that save time and reduce errors
Qualifications
- At least three years of bookkeeping experience, preferably in a law firm or professional services environment
- Proficiency in QuickBooks Online (QBO) and strong Microsoft Excel skills, including formulas and reconciliation worksheets
- Knowledge of generally accepted accounting principles (GAAP) and financial data analysis
- Experience with law firm trust/IOTA accounting and three-way reconciliations strongly preferred
- Strong attention to detail and accuracy with high-volume data entry
- Excellent written and oral communication skills, plus proficiency with the Microsoft Office Suite
- High school diploma or equivalent required; Associate's degree with accounting coursework preferred
Compensation
$42,500/year
