Bookkeeper / Accounting Specialist to manage the Firm’s day-to-day financial and bookkeeping operations.

This is an internal position requiring a high level of accuracy, discretion, accountability, and confidentiality. The ideal candidate will have prior bookkeeping or accounting experience and be comfortable taking ownership of the Firm’s financial records, reconciliations, accounts payable and receivable, payroll-related accounting, reporting, and coordination with the Firm’s CPA and Managing Attorney.

Experience with a law firm or other professional-services business is strongly preferred.

The successful candidate will not simply enter transactions. This individual will reconcile the accounts, identify discrepancies, follow up when documentation is missing, maintain accurate records, anticipate recurring deadlines, and ensure that the Managing Attorney has reliable financial information when making business decisions.

Compensation and Schedule

Compensation will be competitive and commensurate with experience, qualifications, and the scope of responsibilities assigned to the position.

The Bookkeeper / Accounting Specialist will be responsible for maintaining accurate and current financial records for the Firm, including:

  • Maintaining the Firm’s accounting records and general ledger;

  • Managing and reconciling operating, trust/IOLTA, and other Firm bank accounts;

  • Running weekly and bi-weekly client bills;

  • Performing monthly bank and credit-card reconciliations;

  • Maintaining accurate client trust ledgers and assisting with required trust-account reconciliation procedures;

  • Tracking client funds received, earned attorney fees, transfers from trust to operating, settlement proceeds, costs, and other financial transactions;

  • Ensuring that transfers from trust accounts are appropriately documented and supported before processing;

  • Monitoring accounts receivable and assisting with the Firm’s collection procedures;

  • Processing and tracking accounts payable and recurring Firm expenses;

  • Assisting with payroll administration and maintaining accurate payroll records;

  • Categorizing expenses and ensuring transactions are properly recorded;

  • Reviewing credit-card activity and maintaining supporting documentation for business expenses;

  • Maintaining records regarding employee reimbursements, attorney reimbursements, and other Firm expenditures;

  • Preparing regular financial reports for the Managing Attorney, including profit-and-loss statements, balance sheets, accounts receivable, cash-flow information, and other requested reports;

  • Assisting with monthly and year-end financial closing procedures;

  • Preparing and organizing financial information requested by the Firm’s CPA;

  • Assisting with tax preparation, 1099 reporting, payroll reporting, and other accounting-related compliance matters in coordination with the Firm’s CPA and payroll professionals;

  • Maintaining organized electronic financial records and supporting documentation;

  • Identifying discrepancies, unusual transactions, missing documentation, or reconciliation issues and promptly bringing them to the Managing Attorney’s attention; and

  • Assisting the Managing Attorney with budgeting, financial tracking, and other financial-management projects as requested.

  • The successful candidate should have at least three years of bookkeeping, accounting, or financial-management experience, with prior law-firm or professional-services experience strongly preferred.

  • The ideal candidate will also possess strong knowledge of bookkeeping principles and reconciliations; experience with QuickBooks or comparable accounting software; proficiency with Microsoft Excel; exceptional attention to detail; strong organizational and time-management skills; and the ability to work independently and meet recurring financial deadlines.

  • Because this position will have access to highly sensitive Firm, employee, client, banking, payroll, and trust-account information, the successful candidate must demonstrate exceptional integrity, discretion, confidentiality, and professional judgment.

  • Experience with law-firm trust accounting, IOLTA accounts, client ledgers, settlement disbursements, and legal practice-management software such as Clio is highly preferred.

Compensation

$40,000 - $51,000 yearly
