Bilingual Law Firm Receptionist - English/Spanish
At Texas Defense Firm, we provide strategic, compassionate criminal defense representation to individuals facing some of the most difficult moments of their lives. From the first phone call to the final resolution of a case, we believe every person deserves to be treated with professionalism, dignity, and respect.
We are seeking a dependable, organized Bilingual Receptionist fluent in English and Spanish to serve as the first point of contact for our firm. This position plays an essential role in welcoming visitors, managing incoming calls, connecting people with the appropriate team member, and keeping our front office running smoothly.
The right candidate is approachable, attentive, and comfortable managing a busy reception desk. You should be able to communicate clearly, remain composed when someone is upset or anxious, and handle sensitive information with discretion. You will work closely with our intake team, legal support staff, attorneys, and firm administrator to help clients receive timely, professional assistance.
Front Desk and Client Experience

Maintain a welcoming, organized reception area and ensure conference rooms are ready for appointments.

Assist visitors with routine forms and administrative questions.
Communicate respectfully with people from different backgrounds, including individuals experiencing stressful or emotional circumstances.
Telephone and Bilingual Communication
Answer and manage a high volume of incoming calls in English and Spanish.
Identify the purpose of each call and route it accurately to intake, attorneys, support staff, or administration.
Take complete, accurate messages, including the caller’s name, contact information, reason for calling, and any time-sensitive details.
Connect prospective clients with the intake team for consultation scheduling.
Assist with routine Spanish-language communication, including appointment information, directions, and administrative messages.
Help coordinate Spanish-language assistance for clients and staff, referring substantive legal questions and interpretation needs to the appropriate team member.
Follow established procedures for urgent calls, unavailable staff, and callers requesting updates.
Maintain a courteous, composed manner when handling frustrated callers or competing requests.
Administrative and Office Support
Maintain accurate contact information, messages, and administrative notes in the firm’s designated systems.
Assist with appointment confirmations and scheduling coordination as directed.
Receive, sort, and distribute incoming mail, deliveries, and packages.

Scan, copy, upload, and organize documents according to firm procedures.
Receive documents from clients and ensure they reach the appropriate staff member promptly.
Monitor reception and office supply needs and communicate replenishment requests.
Assist with other administrative projects and routine office tasks assigned by the firm administrator.
Confidentiality and Team Coordination
Protect confidential client, case, personnel, and firm information.
Follow procedures for verifying identity and determining what information may be shared.
Communicate messages accurately without offering legal advice, interpreting case developments, or making promises about outcomes.
Keep attorneys and staff informed of urgent messages, scheduling issues, and client concerns.
Follow through on assigned tasks and communicate promptly when an issue requires assistance.
Learn and consistently follow the firm’s procedures for reception, call handling, document management, and client communication.
Required

Previous experience in reception, customer service, administrative support, or another position involving regular telephone and in-person communication in a professional office setting.
