Find Your Balance Center for Growth & Change (FYBC), a California-based mental health practice, is looking for an experienced Automation Specialist to help us develop advanced automations, integrate multiple platforms, and streamline our administrative and operational reporting.

This is a project-based or part-time position, depending on project requirements and ongoing automation needs.

We are looking for someone with advanced expertise in Make.com, data integrations, and complex workflow automation - not just basic CRM workflows.

What We're Looking For

We need someone who can take many of our manualized systems and turn them into automations.

For example, instead of manually gathering reports from our CRM, SimplePractice, and various trackers, we want to build an automation that can extract, organize, analyze, and consolidate that information into a comprehensive daily leadership recap.

The ideal candidate can recommend the best technical approach, identify potential limitations, and build scalable automations that minimize manual work while maintaining data accuracy and security.

Remote in the Philippines

Key Responsibilities

• Design, build, and maintain complex automations using Make.com or similar programs.

• Integrate data from multiple platforms, including GoHighLevel (GHL), EHRs (SimplePractice), Google Sheets, and other operational systems.

• Develop automated Daily Admin & Operations Leadership Recaps by consolidating data from CRM reports, scheduling trackers, administrative reports, and other sources.

• Automate data extraction, processing, consolidation, and reporting across platforms.

• Build automated dashboards, summaries, and performance reports for leadership.

• Identify opportunities to automate repetitive administrative tasks and improve operational efficiency.

• Troubleshoot integration issues, data discrepancies, and automation failures.

• Document workflows and provide clear instructions for maintaining automated systems.

• Advanced experience with Make.com is required.

• Proven experience building complex, multi-step automations and cross-platform integrations.

• Strong knowledge of APIs, webhooks, JSON, data mapping, and conditional logic.

• Experience with Google Sheets, CRM systems, and automated reporting.

• Familiarity with GoHighLevel (GHL) and SimplePractice is a plus.

• Experience with AI-powered automation, data analysis, and automated report generation is highly preferred.

• Excellent written and verbal communication skills, with the ability to clearly explain technical processes, provide regular project updates, and communicate challenges or recommendations proactively.

• Ability to understand operational requirements, ask relevant questions, and collaborate effectively with team members and leadership.

• Strong problem-solving skills, attention to detail, and the ability to work independently.

• Experience handling sensitive healthcare data and knowledge of HIPAA-compliant integrations is preferred.
