Description
We are seeking a highly organized, proactive, and versatile Personal/Executive Assistant to provide comprehensive support to a local business owner. This dual-function role is designed to streamline both professional operations at the office and personal management at home, allowing them to maintain a high-level focus on business growth and development.
The ideal candidate will act as a strategic gatekeeper, organizational expert, and logistics coordinator.
Responsibilities
Business Operations & Executive Support
- Organizational Management: Establish and maintain an efficient office management flow and clear business plan structure.
- Strategic Prioritization: Consolidate tasks and prioritize daily objectives to ensure focus on high-impact work.
- Workflow Coordination: Create and manage shareable electronic task lists (via Google or Apple Notes) to maintain transparency between leadership.
- Calendar & Meeting Oversight: Take ownership of the professional calendar, managing scheduling and firm-wide meeting logistics as needed.
- Communication & Internal Structure: Assist in defining management structures, coordinating staff meetings, and facilitating general in-house announcements.
- Logistics: Manage professional travel arrangements and associated logistics.
Personal & Household Management
- Household Organization: Oversee home organization projects, including coordinating with external vendors for specialized tasks.
- Standard Operating Procedures: Author a comprehensive "guidebook" detailing preferences and specific instructions for household maintenance (e.g., plant care).
- General Errands & Logistics: Manage personal travel coordination and administrative tasks such as Amazon returns.
- Utilize the website, social media, and printed materials to raise our visibility in the community
- Create and implement data entry protocols to streamline processes and increase productivity
- Inform team members regularly about the status of projects and any setbacks or achievements
- Act as a point of contact for complaints or questions from customers and respond in a timely manner
- Plan community events to market the company and increase brand awareness
Qualifications
- History of being deadline-driven and extremely organized
- Navigates computer programs with ease to provide a quick front-desk experience for customers
- Display excellent written, problem-solving, and verbal communication skills
- High school diploma or GED required, some college experience preferred
- Prior experience in office management or our industry is a plus
