Jerry Riggleman Realty Group is hiring an Administrative / Marketing & Transaction Coordinator to help support our real estate business with transaction coordination, marketing support, client communication, database management, and day-to-day administrative operations.
This is a detail-heavy, fast-paced role for someone who is highly organized, dependable, tech-savvy, positive, and comfortable managing multiple deadlines at once. The right person will enjoy being the behind-the-scenes support that keeps transactions, marketing, clients, and systems running smoothly.
Strong spreadsheet and Microsoft Excel skills are required. This role involves working with spreadsheets, tracking systems, lead lists, client databases, reports, mailers, transaction timelines, and marketing lists. We are looking for someone who is truly comfortable with Excel and organized data management, not just basic data entry.

Real estate experience is preferred, but we are willing to train the right person. Transaction coordination, title, mortgage, escrow, brokerage, marketing, administrative, or client service experience is highly valued.
Responsibilities
- Manage buyer and seller transaction timelines from contract to closing.
- Track deadlines, contingencies, inspections, repairs, appraisal dates, settlement dates, and required follow-up.
- Coordinate communication with clients, agents, lenders, title companies, inspectors, appraisers, contractors, vendors, and office/broker compliance.
- Prepare, review, organize, and submit transaction documents to help ensure signatures, dates, required forms, and compliance items are complete.
- Assist with listing preparation, including listing paperwork, seller disclosures, MLS input, online listing updates, property information, showing coordination, feedback, signage, lockboxes, photos, open houses, and marketing activities.
- Maintain client information in CRM, transaction management systems, spreadsheets, and databases.
- Help create and maintain tracking systems, checklists, spreadsheets, reports, and follow-up processes.
- Assist with marketing projects including social media posts, direct mail, client letters, listing materials, flyers, email campaigns, testimonials, marketing videos, client database campaigns, and vendor/client appreciation events.
- Track inbound leads from websites, social media, referrals, and other online sources.
- Assist with client follow-up, including post-closing follow-up, referral requests, and customer service touchpoints.
- Support general administrative duties and other projects as assigned.
Qualifications
- Strong Microsoft Excel and spreadsheet skills are required.
- Experience with spreadsheet organization, sorting/filtering, basic formulas, data cleanup, lists, reports, tracking sheets, and database accuracy is highly preferred.
- Excellent attention to detail and ability to manage deadlines.
- Strong written and verbal communication skills.
- Professional, positive, coachable, confidential, and dependable.
- Comfortable learning new software, databases, CRMs, marketing tools, and transaction management systems.
- Able to handle interruptions, shifting priorities, and multiple projects at once.
- Strong customer service mindset and ability to communicate warmly and professionally with clients and vendors.
- Real estate experience preferred, but not required.
- Transaction coordination, title, mortgage, escrow, brokerage, marketing, or administrative experience is highly valued.
- Real estate license preferred, but not required.
- Experience with MLS, CRM systems, Canva, social media, email marketing, direct mail, Microsoft Office, and PowerPoint is a plus.
Compensation
$20 - $27.5/hour
